MONITORING LIST AND PROCESSES
Overview
The ECE Monitoring List is a formal warning that a student’s academic performance falls below the ECE Department minimum academic standards of a 2.5 GPA. A student below the 2.5 minimum is not eligible for graduation and will be required to re-take courses until the GPA is above 2.5 GPA expectation.
These processes and procedures are intended to alert students and advisors to provide additional support toward improving performance and maintaining satisfactory academic progress. This process is not a punishment, it is intended to provide additional support to struggling students who may need assistance. Once on this list, students will not be able to register for courses until they meet with their academic advisor.
Minimum Academic Standards
An EE or CE student may be placed on the Monitoring List if any of the following conditions apply:
- The cumulative Grade Point Average (GPA) falls below 2.5
- The semester GPA falls below 2.50
- The student fails to pass an ECE course and/or STEM course
- 2nd or 3rd attempt at any course at the University

Monitoring List Q&A
Students placed on the Monitoring List will receive official notification via institutional email. This notification will include:
- The reason(s) for being placed on the Monitoring List
- The expectations and conditions to return to good academic standing
- Available academic support resources
- The consequences of continued unsatisfactory performance
- Invitation to meet with an academic advisor in person or through Zoom
- Additional instructions on the steps required to be removed from the list
- ECE enrollment may not be possible until the student meets with their academic advisor
While on the Monitoring List students may be required to:
- Limit their course load (e.g., a maximum of 12 credit hours)
- Meet with an academic advisor within the first month of the temester to create an Academic Success Plan. This plan is approved by the academic advisor AND the ECE Academic Standards Committee.
- Develop and follow an academic improvement plan. Each student needs to self-reflect and fill out a time audit worksheet and bring to their first meeting with the Advisor.
- Students should have evidence of additional steps taken to improve such as:
- Schedule and bring back a summary of notes of how they will incorporate learning skills from a learning specialist
- A letter saying they met with a therapist or from the counseling center to verify that they met on date
- A medical doctor note that they met on date or follow up summary showing date of the appointment.
- Identify barriers that impact your academic performance
- Use designated academic support services (e.g., tutoring, academic standards workshops)
- Update your academic advisor on your progress toward achieving your Academic Success Plan before the withdrawal deadline
The ECE Monitoring List typically lasts for one semester. At the end of the semester, the student’s academic record will be reviewed. Based on this review, one of the following outcomes may occur:
- Return to Good Standing: If the student meets the GPA and progress requirements.
- Continuation on the ECE Monitoring List: If improvement is shown but standards have not yet been fully met.
- At risk of removal from major and remains on the ECE Monitoring List: If there is no significant improvement or further academic decline occurs. This is the last step before Degree Dismissal (The student may continue to attend the University and find a new Program)

- The student fails multiple ECE courses and/or other University STEM courses
- 3rd or 4th attempt of any course at the University
At this stage, only one semester remains to make academic improvements or be dismissed from the ECE program. Students on the list will be limited to course options and expected to check in with the advisor depending on their advisor’s determination but at a minimum of once a month during the semester to report on their academic progress.
Conditions of being on the AT RISK OF REMOVAL FROM MAJOR list
An EE or CE student may be placed on the list if any of the following conditions apply:
- Did not follow the Academic plan while on the Monitoring List
- The cumulative Grade Point Average (GPA) falls below 2.0
- The semester GPA falls below 2.0
- The student fails multiple ECE courses and/or other University STEM courses
- 3rd or 4th attempt of any course at the University
At this stage, only one semester remains to make academic improvements or be dismissed from the ECE program. Students on the list will be limited to course options and expected to check in with the advisor depending on their advisor’s determination but at a minimum of once a month during the semester to report on their academic progress.
Student and advisor expectations while on the AT RISK OF REMOVAL FROM MAJOR list
- Submit the Probation Major Advisor Meeting Form to your Academic advisor
- Meet with your academic advisor no later than the first 2 weeks of the Semester, preferable before the semester starts to create a Comprehensive Academic Success Plan may include the following:
- Work schedule
- Number of hours dedicated to studying with specific times that you study
- Calendar of events of when projects and papers are due and exams
- Number of hours planned for sleep
- Description of where you study most effectively
- Identified Barriers and solutions
- Tutoring and TA office hours (Schedule when they will be used)
- Additional requirements as determined by external members such as success coaches, Dean of Student’s office, counselor, medical doctor, and/or academic advisor
- Students are expected to meet with an advisor depending on their advisor’s determination but at a minimum of once a month and report on their progress in scheduled appointments that are preset at the beginning of the semester.
- Explore if an accommodation through the Center for Disability & Access is appropriate.
- Before the Last day to Withdraw, students are expected to review all courses with the advisor and discuss with the advisor if they can pass all courses. It will be suggested if passing is not possible that they should withdraw from a course(s) rather than risk further hurting their GPA.
- Discuss Tutoring and TA hours and if they are being fully utilized.
Duration and review for AT RISK OF REMOVAL list
A student will be on the AT RISK FOR REMOVAL list for only one (1) semester. A student whose cumulative GPA and semester GPA drops below 2.5 GPA, while on the this list is subject to academic suspension. At the end of the semester, the student’s academic record will be reviewed. Based on this review, one of only two possible outcomes may occur:
- Continuation on the ECE Monitoring List: If GPA improvement is shown but standards have not yet been fully met.
- Academic Removal from the ECE Department. Students will be notified via their institutional email.
Appeal
Students have the right to appeal their academic removal from the ECE Department. Students may continue at the University of Utah in another program if their appeal is denied. Appeals must be submitted in writing through the ECE Exception to Policy form within the specific 2-week deadline provided in the dismissal notification. The appeal should include:
- A statement explaining the circumstances that affected academic performance,
- Documentation (if applicable),
- A plan for academic improvement.
Readmission Process
If you wish to return to the ECE Undergraduate Program after being removed, you must:
- Wait for a removal period of at least two semesters.
- Meet with the ECE Academic Advisors to develop a plan for readmission. Your initial meeting must take place at least one full semester before your desired return semester.
- Receive permission from an ECE Academic Advisor or ECE Academic Standards Committee to apply for readmission.
